Authentication is necessary but not sufficient. SPF, DKIM and DMARC tell a mailbox provider that a message genuinely came from your domain and wasn’t forged in transit. That’s the entry requirement — Gmail, Yahoo and Microsoft now reject or spam-folder unauthenticated bulk mail outright, so without it you don’t even get considered. But passing authentication doesn’t earn you the inbox; it just makes you eligible for the real evaluation. A perfectly authenticated message from a domain with a poor reputation, low engagement or a high complaint rate goes straight to spam. The signals that actually decide placement
1. Domain and IP reputation
Every sending domain and IP carries a reputation score built from your history: how much you send, how steadily, how people react, and whether you’ve hit spam traps or blocklists. This is the single biggest factor after authentication. A new domain has no reputation, which is nearly as bad as a poor one — providers don’t trust senders they don’t know. A domain that recently sent to a dirty list, spiked in volume, or triggered complaints carries a damaged score that authentication can’t override. 2. Recipient engagement
Providers watch what recipients do with your mail: opens, replies, clicks, moving a message to a folder, and — crucially — deletes without reading. Consistent engagement is the strongest positive signal you can send. A list full of contacts who never open trains the provider to treat your mail as unwanted, even when every message is authenticated. 3. Complaint rate
When a recipient clicks “report spam,” that’s the loudest negative signal there is. Gmail and Yahoo now expect bulk senders to keep spam complaints below 0.3% — provider-published guidance, not a suggestion — and to never let it climb toward 0.3% as a sustained figure. A complaint rate creeping toward that line will spam-folder you no matter how clean your authentication. 4. Content and links
Filters read the message itself. Spam-trigger phrasing, an image-only email with almost no text, a suspicious or freshly-registered link domain, shortened URLs that hide the destination, mismatched visible-and-actual link targets, and broken HTML all push you toward spam. Link reputation matters especially: if you link to a domain that’s on a blocklist — even a shortener that spammers also use — some of that reputation rubs off. Keep a healthy text-to-image ratio, link only to domains you control or trust, and avoid the classic spammy formatting.
5. List quality
A list padded with invalid addresses, spam traps and unengaged contacts undermines every other signal at once: more bounces, more trap hits, lower engagement. Even fully authenticated mail to a dirty list lands in spam because the list is telling the provider you don’t practise permission or hygiene. 6. Sending consistency
Providers reward predictability. A domain that sends 500 messages a day for weeks and then suddenly blasts 50,000 looks compromised, and the spike gets throttled or filtered even though nothing about the authentication changed. Erratic volume, long gaps followed by bursts, and un-warmed new domains all read as risk. A diagnostic checklist
When authenticated mail still goes to spam, work through these in order — the fix is almost always one specific signal, not everything at once:
- Confirm authentication really passes and aligns. “SPF passes” isn’t enough — DMARC needs SPF or DKIM to align with your visible From domain. Verify all three and their alignment with the Email Health Check and the DMARC Checker, and read the SPF, DKIM and DMARC guide if anything is off.
- Check whether you’re blocklisted. A single spam-trap hit can list your domain or IP and override every other signal. Run the Email Blacklist Check and, if listed, follow how to get delisted fast.
- Look at your reputation dashboards. In Google Postmaster Tools, is your domain reputation “high,” “medium,” or worse? Is your spam rate near or above 0.3%? This tells you whether the issue is systemic.
- Is it one provider or all of them? If only Gmail spam-folders you, it’s usually a Gmail-specific reputation or engagement problem, not your DNS. If every provider filters you, suspect list quality or a blocklist.
- Test a real message end-to-end. Run a send through the Email Deliverability Test to see authentication, content flags and placement in one pass.
- Audit engagement and list age. When did the filtered segment last engage? A dormant or recently-imported segment is the usual culprit — isolate and re-verify it before blaming the whole program.
Common failure modes
- Assuming “authenticated” means “inbox.” Authentication is table stakes. Reputation and engagement decide placement.
- Passing SPF but failing DMARC alignment. A pass on the raw check can still misalign with your From domain. Check alignment, not just the individual mechanisms.
- Blaming content when it’s reputation. Rewriting subject lines won’t fix a domain that’s blocklisted or has a high complaint rate. Diagnose before you tweak.
- Mailing everyone to “stay top of mind.” Sending to unengaged contacts is the fastest way to teach a provider your mail is unwanted. Segment and sunset.
